Two tips to follow when sending off important files to a printing company

If you need to have some important documents printed, here are some things you should do when you're ready to send the digital copies to the printing company.

Have someone else proofread the files' contents

If the contents of the files are extremely important (for example, if this is an employment contract you've drafted for a job applicant), then you should have someone who you know is detail-orientated proofread them before you submit them to the printing company.

The reason for this is that many people find it difficult to identify their own typos in a document they've created. As such, no matter how many times you've read through these documents and checked them for errors, there is a chance that you may have missed and failed to correct a few mistakes. If this is the case and you're having the documents printed remotely by a printing specialist, you may not discover these errors until this printing company has delivered the printed materials to you several days later or until the recipient of these documents receives them.

If the former occurs, you'll have to dispose of the materials with the errors, correct the typos in your digital files and send them off to the printing business a second time. This could be costly and might result in you not being able to send the documents to their intended recipient on time. The latter could be even worse, particularly if the typo affects their interpretation of the document. For example, it could cause serious confusion and problems if you put the incorrect numbers for a new employee's salary or their start date in their contract. As such, it is vital to ensure that a detail-orientated person proofreads these papers before you get them printed.

Consider ordering a few extra copies of the most critical documents

You should not just request the number of copies that you know for certain you need from the printing specialist. Instead, you should order one or two extra copies. It's particularly wise to do this if you'll be travelling with the printed materials after you receive them or if they will be stored in a busy building for a long period.

The reason for this is that the longer the printed materials are in your possession, the more likely it is that they'll get damaged before you can use them for their intended purpose (such as in a court case or a job interview). If a water bottle in your bag that also contains these documents leaks or if you accidentally leave this bag on the train and you don't have any spare copies of these materials, you could end up in quite a bind. Conversely, if you order a couple of extra copies, it won't matter if one copy gets destroyed.
